You remain the account owner; operations and reporting sit with us.

  • You stay the account owner; Cloverlight runs operations
  • Daily orders, Amazon purchases and forwarding-warehouse tracking
  • Daily monitoring of ODR, late shipment and cancellation rates
  • Buyer messages and returns
  • Profit and loss per store and per partner
Price
No fixed fee: a share of net profit, calculated every 45 days. The rate is agreed in a call.

Who does what in Amazon dropshipping account operations?

Cloverlight runs the entire operation: listings, pricing, orders, sourcing, the forwarding warehouse, shipping, buyer messages, A-to-z claims, returns and account health. As the account owner, your only job is to fund the inventory and working capital.

We also guide you on taxes, company formation and legal obligations. Filings, registrations and legal opinions stay with your own accountant or attorney.

Which account health metrics are tracked?

We work to Amazon's published seller performance targets. Breaching them can put an account at risk and affect Buy Box eligibility.

MetricAmazon target
Order defect rate (ODR)Below 1%
Late shipment rateBelow 4%
Pre-fulfillment cancel rateBelow 2.5%
Valid tracking rateAbove 95%

What does a day of Amazon account operations look like?

  1. Orders land in the pool; profit and stock rules are checked.
  2. Order Bot places a verified Amazon purchase to the forwarding-warehouse address.
  3. The parcel is matched at the warehouse, repacked without the retail invoice and shipped with tracking.
  4. Tracking is uploaded to the store on time.
  5. Buyer messages and returns are answered.
  6. The account health dashboard is checked and any deviation is acted on.
  7. Profit and partner share update in the panel.

Should you run the account yourself, use an operations service or hire a freelancer?

There are three common ways to run an Amazon dropshipping account: do it yourself, hand it to an account operations service paid on profit share, or hire a freelancer. They differ on how you pay, which software does the work, what happens when someone is unavailable and whether the provider's incentives match yours.

  • Whichever model you choose, you remain the account owner and the party responsible for policy compliance; Amazon enforces against the account, not against whoever operates it.

How does Amazon's Account Health Rating work?

Amazon's Account Health Rating (AHR) is a score from 0 to 1,000 that shows how close a selling account is to deactivation for non-compliance with certain Amazon policies. According to the Account Health Rating program policy page in Amazon Seller Central, every new seller starts at 200, and the score reflects policy adherence and selling activity over the last 180 days.

The same page explains that each new violation costs points and fixing it earns points back. Repeat violations of the same policy cost more each time, and for higher-severity policies as few as two repeats within 180 days can put the account at immediate risk of deactivation. Amazon also states it may deactivate an account immediately, regardless of AHR, if it suspects fraudulent or harmful activity.

For seller-fulfilled dropshipping accounts, ODR matters just as much. According to Amazon Seller Central's Order Defect Rate page, ODR is the percentage of orders in a 60-day window with negative feedback (1- or 2-star seller ratings), an A-to-z Guarantee claim or a credit card chargeback. It applies only to seller-fulfilled orders, and an ODR above 1% may lead to suspension of seller-fulfilled selling privileges.

AHR rangeStatusWhat it means
200–1,000Green (Healthy)Not at risk of deactivation under the policies in the score
100–199Yellow (At Risk)The account is at risk of deactivation
0–99Red (Unhealthy)The account is eligible for deactivation or already deactivated

How is profit calculated under a profit-share model?

A profit-share model ties the operations fee to the store's net profit instead of a fixed retainer. At Cloverlight the rate and scope are set contract by contract; what stays constant is that every line feeding into profit is agreed in writing before work starts. A typical net-profit calculation includes:

  • Amazon sales revenue, including shipping charged to the customer
  • Referral fees, plan fees and other Amazon deductions
  • Product cost and any sales tax paid on purchases
  • Forwarding-warehouse handling and outbound shipping
  • Losses from returns, cancellations, A-to-z claims and chargebacks
  • Currency conversion and payment-provider costs

What are the steps to hand over account operations?

Moving an Amazon dropshipping account into managed operations starts with a snapshot of where the account stands today and ends with profit-share rules written into the contract. Each profit line is tracked per store and per partner in the ASIN Orchestrator P&L report; for how taxes and legal obligations affect the split, consult your accountant or attorney.

  1. Review current account health: AHR, ODR and any open policy notices.
  2. Grant the access needed through Seller Central user permissions, without sharing the primary account password.
  3. Audit the catalog for restricted brands, gated categories and unprofitable listings.
  4. Connect the forwarding-warehouse address, shipping templates and tracking flow.
  5. Write the profit lines and reporting period into the contract.
  6. Review the first period's report together and adjust scope if needed.

How do you keep VTR, late shipment, cancellation and on-time delivery on target?

You hit Amazon's performance targets by knowing the window each metric is measured over and fixing the operational step that causes the miss. In an Amazon staff guide on the Seller Forums ('Navigating the Account Health Page'), Late Shipment Rate must stay under 4% and is measured over both 10 and 30 days, Pre-fulfillment Cancel Rate must stay under 2.5% over 7 days, and On-Time Delivery Rate should be over 90%. Amazon's January 15, 2025 announcement adds that the Order Performance policy requires a Valid Tracking Rate above 95% for seller-fulfilled listings.

These metrics feed each other. A tracking number uploaded late or with the wrong carrier drags down both VTR and OTDR, and a buyer asking where their package is can turn into an A-to-z claim that hits ODR. The table pairs each Amazon target with what an operations team actually does to protect it.

MetricAmazon targetMeasurement windowWhat keeps it on target
Late Shipment Rate (LSR)Under 4%10 and 30 daysSet handling time in shipping templates to match real sourcing and warehouse time; confirm shipment before the deadline
Pre-fulfillment Cancel RateUnder 2.5%7 daysCheck source stock and price on a schedule and close listings before they sell out
Valid Tracking Rate (VTR)Over 95%30 daysUpload tracking on time with the correct carrier; chase numbers that never get a carrier scan
On-Time Delivery Rate (OTDR)Over 90%Period shown on the Account Health pageSet transit time to the real warehouse-to-buyer delivery time
Order Defect Rate (ODR)Under 1%60 daysResolve delivery and communication problems before they become negative feedback, A-to-z claims or chargebacks

How should you handle negative feedback and A-to-z claims?

Negative seller feedback and A-to-z Guarantee claims are handled against Amazon's removal criteria and response deadlines, and because both count toward ODR they belong in daily account operations. In an Amazon staff feedback-removal event on the Seller Forums, Amazon said it removes feedback only when the comment contains obscene or profane language, includes seller-specific personal information such as an email address, full name or phone number, or is entirely a product review.

Amazon's help page on responding to A-to-z claims says that when a buyer reports a delivery problem, you need to reply through Buyer-Seller Messages and try to resolve it within 48 hours of the buyer's first message. If Amazon asks you for more information and you don't answer within 72 hours, the claim is granted to the buyer, your account is debited and the claim shows up in your account health or ODR.

  1. Check each negative feedback against Amazon's three removal criteria. If one applies, request removal with one order ID per comment.
  2. If it doesn't qualify, contact the buyer through Buyer-Seller Messages and offer a fix such as a return, replacement or partial refund.
  3. For an A-to-z claim, open it from Performance > A-to-z Guarantee Claims and send tracking, proof of delivery and buyer correspondence within 72 hours.
  4. If a claim goes against you and you have evidence, appeal. Amazon's appeal page says a successful appeal can reverse the refund cost or the ODR impact.
  5. Group repeat feedback and claims by root cause (late delivery, wrong item, slow replies) and fix that step in the operation.

What does Amazon store management include?

Amazon store management is the day-to-day running of a seller account: listings, pricing, orders, buyer messages and account health. Dropshipping accounts add the forwarding warehouse, sourcing and tracking flow. The table shows what Cloverlight account operations usually cover; the exact scope is written into each contract.

Amazon consultant, agency or in-house: what is the difference?

With a consultant you do the work and get guidance; with an operations service a team runs the daily work; in-house means hiring your own staff. The right choice depends on your time, the number of stores and how much control you want to keep.
